Use of Library Classrooms 2A, 2C, 2S and the Collaboratory

Reserving a Room
To reserve a Library classroom, please review the following guidelines, and then contact the Library at (210) 567-2450 or AskaLibrarian@uthscsa.edu. The following information is required:

  • Name of session
  • Sponsoring department(s)
  • Session date and starting and ending times
  • Number of students expected
  • Software needed
  • Special requirements (such as video-teleconferencing, equipment, software or refreshments)
  • Contact name, phone number, and email

Please be aware that the Library classrooms are heavily used and may not be available. Reservations should be made as far in advance as possible.

Room Descriptions
Room 2A: Computer classroom with 15 student computers (with seating for 25-30) and an instructor's station with computer, data projector, and videoteleconferencing (VTC) equipment. All computers have Internet access, Web browsers, and Microsoft Office.

Room 2C: General classroom with instructor's station (with Internet access, Web browsers, and Microsoft Office), data projector, phone line with speaker phone, and VTC equipment. Room 2C can seat more than 50 students.

Room 2S: Small computer classroom with 4 student computers (laptops) and an instructor's station with computer and data projector. All computers have Internet access, Web browsers, and Microsoft Office.

The Collaboratory (4.074): General classroom with data line, data projector, phone line, VTC equipment, markerboard, electronic markerboard, Smartboard and laptop computer with Smartboard-compatible software. The Collaboratory furniture can be configured for conferences, lectures and videoteleconferences. Tables have built-in electrical outlets which connect to in-floor outlets, and up to four additional data lines can be added. The room has wireless connectivity as well. Future plans include capability for hands on classes. The room can seat 20-24.

Guidelines for Use
The guidelines are general and exceptions may be made on a case-by-case basis.

The purpose of the Library's classrooms is to support the programs and mission of the University.

Rooms are for the use of UTHSCSA-affiliated personnel. The requestor must be affiliated with UTHSCSA, and the program must be sponsored by either a department or organization affiliated with UTHSCSA. (Attendees do not have to be UTHSCSA-affiliated, but the program itself must support the University's mission or programs.)

Reservations:

  • Classrooms are reserved on a first come/first served basis. When Room 2A is not in use for a class, it is open for general computing use. The Collaboratory is open for group study when it is not reserved. Reservations for the Collaboratory are posted outside the door.
  • Room 2A may be reserved only for sessions requiring hands-on use of computers by participants. For sessions in which only the instructor requires a computer, Room 2C and the Collaboratory are available.
  • When requesting a Collaboratory reservation, please indicate whether the following will be needed:
    • Collaboratory laptop
    • Projector
    • Internet access
    • Videoteleconferencing equipment (see note below)
    • Smartboard (requires Collaboratory laptop with compatible software)
    • Electronic markerboard
    • Dry-erase markers
  • Instruction in use of the Smartboard and Electronic markerboard can be provided by appointment. Contact (210) 567-2450 or Askalibrarian@uthscsa.edu.
  • Library classrooms may not be reserved more than 4 times per month, or for more than 20 hours per month, for a single course (or workshop/workshop series).

Videoteleconferencing:
Downlink must be pre-arranged by requestor directly with Videoconferencing Services, (210) 567-2214 http://www.uthscsa.edu/ais/learning/videoconf.html.

Special software:
Special software may be installed in advance for classes in Room 2A. Special software may only be installed by Library staff. Special software requirements must be made known when the room is reserved, and at least 3 days in advance. The Library will not purchase special software for classes; the requestor must own the software and have the license to have it installed on multiple computers. All software must be used in compliance with license agreements. Special software will be uninstalled after the conclusion of the class or workshop series.

Food and beverages:
Covered beverages and limited food are allowed in Room 2C and the Collaboratory. If the requestor wishes to serve refreshments, permission must be obtained in advance. Library staff must be notified of any food deliveries and the approximate time of arrival. If University Dining (ARA) caters the event, the main Library entrance may be used, although serving carts should be covered and the service elevator used to transport the carts to the classroom. Other caterers should use the service entrance (loading dock) on the Library's south side. All food service items must be removed within 30 minutes after the end of the class. The requestor must make sure the all trash is disposed of in trash receptacles and that the room is returned to its original state. Please report spills immediately to Library staff.

Cancellations:
If a scheduled class is canceled, the Library should be notified as soon as possible. Changes in times or dates will be accommodated when possible, although Library classrooms are heavily used and changes are not always feasible.
