GENERAL GUIDELINES FOR LIBRARY GROUP USE ROOMS
1. Group Use Room Reservations can be made in person at any Service Desk in the Library or by phone at 567-2440.
2. Only those with a UTHSCSA ID badge are allowed to schedule a group room and will need to present it when scheduling.
3. All rooms available for group use (more than one person) can be used on a scheduled or unscheduled basis, with scheduled group use taking priority. Groups (without reservations) have priority usage of the rooms over students studying independently. Room reservations made for group use become void if only one member of the group shows up.
4. No tobacco products or hot/odorous foods are allowed in group use rooms or any other part of the Library.
5. Reservations are made for one time use only. Other rooms in the UTHSCSA are more appropriate for recurring classes or meetings and should be reserved through Facilities Scheduling in the Office of Student Services (ext. 7-2655).
6. Reservations will be accepted up to two weeks in advance and should be made at least two hours before the scheduled room is needed.
7. Reservations will only be held for thirty minutes after the initial scheduled time. If the “group” has not arrived within the grace period, the room becomes available for unscheduled use. Refer to #3.
8. Rooms should not be left vacant for more than 30 minutes otherwise the room becomes available for unscheduled use. Personal items and equipment, such as laptop computers, iPods and PDAs, should not be left unattended at any time.
9. Groups using audiovisuals will be scheduled for room use on Level 2 and will have priority over groups who are not utilizing AV type material.
10. If you require additional audiovisual equipment on Level 2, other than what is already provided in the room, you must notify the Circulation Desk at the time of the reservation for approval and you must make arrangements directly with Audiovisual Services (ext. 7-2210).
11. If you require additional furniture, other than what is already provided in Level 2 rooms, you must notify the Circulation Desk at the time of reservation for approval and you must make arrangements directly with Housekeeping at (ext. 7-2935).
12. Equipment and materials used by a group will not be allowed to remain in the room for use the next day unless special arrangements are approved by Circulation Desk staff.
13. Requests for room use assistance and/or user verification should be directed to Library Staff on the 3rd floor of the Library.
14. The Library reserves the right to refuse to reserve a room for any group or individual who abuses the facilities or policies.
